Code of Conduct

The Ventia Code of Conduct sets out clear and consistent standards of behaviour expected from each of us - to ensure we are guided to make the right decisions, work safely, behave ethically and abide by laws and regulations.

 

Mobility Work Order Manager 

Mobility is a simple, easy-to-use online work order management system that allows Ventia Property subcontractors to manage their work orders (ie. accept work orders, update status, request variations, and submit payment claims). Use of Mobility is mandatory for subcontractors and suppliers working on the WoAG Contract. The link to this portal is https://connect.app.ventia.com

If you require additional access, complete the eForm via this link, ensuring all fields have been completed, and referencing your vendor ID.  

As a part of this process (after submitting the eForm), new users will receive two emails: 

  1. Requesting user to complete the security requirements (i.e. password and multifactor authentication setup) through OKTA 
  2. A welcome email which will include the link to the portal, user email confirmation, and the Mobility & OKTA user guides. 

Important 

  • The Mobility & OKTA portals are separate. 
  • Users will not be able to log in to the Mobility portal until the OKTA process is complete. 
  • The same user email and password are used to access both portals. 

 

Rapid Global

Mandatory Rapid Global Compliance

Rapid Global Workforce Management (Rapid) is the system we employ to manage the lifecycle of our contractors and suppliers (vendors) for Safety, Health, Environment and Quality (SHEQ) and compliance.  

All contractors engaged by Ventia must register their company in Rapid, upload the mandatory documents, including insurance certificates and contractor licences to the company profile, and are responsible for ensuring all documentation is kept up to date.  

The contractor must ensure each person who attends site to perform work is issued an induction key to create a worker profile on Rapid. The worker must complete the mandatory inductions, upload their clearance documents and any work licences that are required by law. The contractor is responsible for ensuring worker documents are kept up to date. The induction and documentation requirements are determined by the site name your company administrator selects in Rapid while issuing an induction key.  

Rapid compliance is monitored for every vendor and is a measure considered during contractor meetings.

 

Suspension in Rapid Global

Contractors are deemed suspended in Rapid when either insurances expire or when 80% of workers are not fully inducted. If in suspended status, Ventia Property will seek alternate compliant contractors for the issue of work orders. To prevent missed opportunities and work orders, it is essential that Rapid compliance is maintained.

Recipient Created Tax Invoice (RCTI)  

RCTI is Ventia’s preferred method for invoice payment. RCTI ensures an overall streamlining of the payment process and is an ATO compliant document. This means our work order management system (Mobility) will automatically generate a tax compliant invoice for the completed works. This results in more timely payment, elimination of the need to submit manual invoices to our Finance Department, and streamlines the overall payment process. As part of the RCTI process in the Mobility Portal, you will be required to supply a “Service Report” (not a Tax Invoice) which at a minimum should include:  

  • The date the maintenance occurred 
  • The site that was attended 
  • A description of the maintenance conducted 
  • Name of the technician that attended; and 
  • A clear breakdown of the time (labour) and materials (ex GST) that mirrors the amount being claimed

Project Works Invoicing 

With a view to making the payment more efficient, please ensure you submit a valid payment claim post works completion (per your relevant state’s Security of Payments Act) along with any supporting statements and/or Statutory Declarations, as required. Please be advised projects do not have RCTI and Mobility functions. Therefore, any project works and/or invoices must go through the Project Management Team for processing. The project contracts and/or purchase order terms and conditions will apply to all project works. 

For vendors who have the ability to work across both Facility Management and Projects, you may receive automatic notifications through the mobility portal. This would make you a dual vendor and as such, we are unable to turn off these notifications. If you could please disregard any such automation for project-related works, it would be greatly appreciated.  

 

AGSVA Security Clearance 

The current Australian Government Vetting (AGSVA) process requires that Contractors working across WoAG locations will require a Baseline AGSVA security clearance (unless otherwise advised by Ventia Property).
